Client brief meetings: translate adjectives into requirements

Clients often use words such as open, flexible, premium, private or sustainable. The architect should ask what each word means operationally.

  • Who uses the space?
  • Which activities occur there?
  • What must be possible simultaneously?
  • What level of privacy or control is required?
  • How will success be measured?
  • What budget, programme or statutory constraints apply?

The recording preserves the client’s language. The approved brief should contain defined requirements, assumptions and exclusions.

Design reviews: preserve rejected options and reasons

A useful design record should show:

  • question being resolved
  • options genuinely considered
  • evidence and specialist advice
  • constraints and assumptions
  • cost and programme implications
  • decision authority
  • approved outcome
  • information requiring revision

Do not keep only the chosen option. The reason an alternative was rejected can become important later when conditions change.

The design-decision record

  1. Assign a unique reference.
  2. State the design question precisely.
  3. Link the relevant brief, survey, calculation or advice.
  4. List the material options.
  5. Record recommendation and uncertainty.
  6. Identify the approving person or body.
  7. State the decision and effective date.
  8. List drawings, specifications, schedules and risks affected.
  9. Confirm issue and withdrawal of superseded information.

Consultant coordination: record interfaces

An action such as “structure to review opening” may affect architecture, services, fire strategy, ceiling zones, cost and programme.

For every coordination action, record:

  • interface or clash
  • information required
  • responsible designer
  • dependent disciplines
  • deadline linked to the programme
  • model, drawing or schedule to update
  • person responsible for confirming closure

Site observations: do not create accidental instructions

Use explicit status language:

  • “Observation only.”
  • “Request for information.”
  • “Contractor proposal.”
  • “Design team review required.”
  • “No instruction issued.”

A spoken note might say: “Level two, north stair enclosure, photograph 18. Installed frame appears offset from detail A-421 revision C. Contractor to confirm setting-out information. Observation only; no instruction issued.”

The authorised person should issue any formal instruction through the project’s contractual process.

Change requests: trace the complete impact

The transcript may identify the requested outcome. It cannot complete the professional and contractual assessment.

Technical transcript checks

Check drawing references, revision letters, dimensions, levels, grid numbers, product names, consultant names and negative phrases such as “not approved” or “do not proceed”.

A fluent summary is not evidence that the technical source was transcribed correctly.

Confidentiality and information control

Project recordings can contain client finances, legal advice, security arrangements, design intellectual property and employee information. Record selectively, use practice-owned accounts and move approved outputs into the project’s controlled information environment.

The recording should not become a parallel source of truth beside current drawings, specifications and instructions.
