An author can lose valuable material in two opposite ways. The first is obvious: a useful phrase, memory or scene idea disappears before it is written down. The second is less obvious: the material is recorded, but buried among unnamed files, unreliable transcripts and quotations that have lost their context.

Workflow one: turn an interview into a quotation ledger
Good interview notes do more than preserve words. They preserve who said them, what question prompted them and what conditions apply to their use.
- Agree the ground rules. Explain the project, whether the discussion is on the record, who will access the audio and how quotations may be used.
- Open with a spoken identifier. State the project, date, participant and interview purpose.
- Mark useful moments aloud. A short phrase such as “possible quotation on training culture” makes later review faster.
- Correct the transcript. Check names, dates, technical terms and speaker labels before searching it.

Workflow two: capture a place without pretending memory is evidence
Location research benefits from spoken description because the author can observe while moving. Record what is directly present before interpreting it: distance, light, sound, temperature, layout, movement and visible objects.
A useful field note follows this order:
- Where and when: location, date and time.
- Direct observation: what can be seen or heard.
- Interpretation: what the detail suggests emotionally or narratively.
- Verification need: history, ownership, technical detail or local terminology requiring another source.
- Writing use: chapter, scene or argument that may benefit.
This separation prevents a vivid impression becoming an unsupported factual claim.
Workflow three: dictate a rough passage without flattening your voice
Spoken drafting works well for writers who discover structure by explaining. It can reveal a natural order for an argument or a more direct narrative voice. The transcript, however, will usually include repetition, vague references and sentences that depend on tone rather than grammar.
Edit the spoken draft in three passes:
- Meaning pass: keep only the ideas that advance the chapter.
- Structure pass: arrange claims, scenes or examples in a deliberate order.
- Voice pass: rewrite rhythm, precision and imagery so the final prose belongs to the author rather than the transcript.
Reading the rewritten passage aloud is useful, but the goal is not to reproduce every spoken habit. It is to preserve the energy while improving the writing.
A fifteen-minute processing routine
The value of a recorder depends on what happens after capture. A simple daily routine prevents an archive of hundreds of unusable files.
- Rename the recording with date, project and subject.
- Generate the transcript only when the material is worth processing.
- Correct the first occurrence of names and specialist terms.
- Extract no more than five useful items.
- Assign each item to a chapter, research question or action.
- Record permission or attribution conditions.
- Move the material into the author’s main writing system.
- Delete duplicates or low-value audio according to the project’s retention plan.

- Can another authorised person understand its context?
- Does it contain personal or confidential information that is not needed?
- Is the participant’s intended use of their words clear?
- Does a factual statement require documentary confirmation?

Protect contributors and unpublished work
Interview audio may contain personal data, confidential information or stories a contributor did not expect to see published in full. Limit access, avoid unnecessary copies and keep permission conditions attached to the source.
Possessing a recording does not automatically transfer copyright, confidentiality rights or the right to publish every part of it. Resolve important quotation, anonymity and contributor questions before final copy.
