A financial review should not rebuild the client file from the beginning. It should identify what has changed, whether the previous plan still fits and which facts require fresh evidence.

This workflow turns approved review recordings into a controlled review delta rather than another generic meeting summary.

Start with the existing record

Before the meeting, review:

  • previous objectives and timescales
  • current financial information
  • risk, capacity and knowledge records
  • recommendations and assumptions
  • outstanding actions
  • known life or regulatory changes

The recording becomes valuable when it reveals change against that baseline.

Client language needs certainty labels

Preserve the difference between:

Language Status
“I will retire in June 2029.” Stated plan, still requiring feasibility and evidence
“I may retire early.” Possibility to explore
“I would like to retire early.” Preference or objective
“I need £3,000 a month.” Requirement to test and clarify
“I think I can tolerate a fall.” Statement requiring deeper risk discussion

AI summaries often remove words such as may, approximately and subject to. Restore them where they affect the advice.

The objective card

For each objective, record:

  • outcome in the client’s own words
  • priority
  • target date or range
  • amount or measure
  • flexibility
  • dependencies
  • trade-offs accepted or rejected
  • evidence still needed
  • what success means to the client

“Retirement planning” is a topic. “Maintain £3,000 monthly net spending from age 62 while keeping an emergency reserve” is an assessable objective.

Risk discussion: keep three questions separate

  • Risk tolerance: how much uncertainty or loss the client is willing to accept.
  • Capacity for loss: what loss the client can financially bear without undermining objectives.
  • Risk required: what level of return or uncertainty may be needed to pursue the objective.

An AI sentiment score cannot replace those discussions or the firm’s methodology.

The review-to-file workflow

  1. Use the firm’s approved device and processing arrangement.
  2. Explain the recording purpose and handling to the client.
  3. Conduct the review with the previous file available.
  4. Generate the transcript as a draft source.
  5. Correct names, values, dates and speaker attribution.
  6. Populate the review-delta table.
  7. Identify unreliable, incomplete or outdated information.
  8. Obtain evidence and complete the firm’s analysis.
  9. Record whether previous recommendations remain suitable.
  10. Issue the required client communication and apply retention.

Current suitability controls

Current FCA suitability rules require firms to obtain necessary information about the client’s financial situation, objectives, risk tolerance, ability to bear loss, knowledge and experience where applicable. Firms must take steps to ensure collected information is reliable and keep relevant information current during an ongoing relationship.

Family and joint-client meetings

Identify whose objective, knowledge, financial position and authority each statement relates to. Do not merge two clients into one profile or share one person’s confidential information merely because family members attended together.

AI drafting limits

AI may draft:

  • meeting chronology
  • changed facts
  • client questions
  • documents required
  • actions and deadlines

The adviser must control suitability, recommendation, tax or legal boundaries, disclosure, risk and the final client record.

Privacy and vulnerable circumstances

Reviews may include health, family, bereavement and financial stress. Capture only what is relevant, use approved accounts and avoid retaining complete audio merely because it may be useful later.

Do not infer vulnerability from voice or emotion scores. Follow the firm’s human process and discuss support needs directly.
