- whether estimates or extrapolation are included

Preserve any caveat. A smooth summary should not make an estimated partial-year number look like a fully verified annual result.
Stakeholder interviews should produce evidence requests
When a colleague or supplier explains a sustainability result, record the statement and ask what supports it.
A useful interview output includes:

- speaker and role
- basis of knowledge
- system, invoice, certificate or calculation referenced
- data owner
- uncertainty or limitation
- document requested
- deadline and reviewer
The conversation identifies the route to evidence. It is not itself sufficient evidence for most published metrics.
Supplier claims need a separate confidence ladder
Apply a status such as:
- supplier statement only
- supporting document received
- methodology reviewed
- data checked against scope and period
- independent assurance or certification reviewed where relevant
- approved for the intended use
Do not describe a product or service as sustainable merely because the word appears frequently in a supplier presentation.
Preserve uncertainty and negative evidence
Reporting discussions often focus on positive progress. Record information that weakens or qualifies the story:
- missing sites or suppliers
- method changes
- data-quality issues
- performance deterioration
- targets that depend on future funding
- rebound effects or transferred impacts
- conflicting stakeholder views
AI should not remove these points to produce a more optimistic executive summary.
Turn workshops into action and decision records
A materiality, target-setting or transition workshop should produce:
- question decided
- stakeholders and evidence considered
- options and trade-offs
- assumptions
- decision authority
- approved target or action
- metric and owner
- dependency and review trigger
Keep minority or dissenting views where they identify a material risk.

- Confirm recording is permitted and define the workshop or interview purpose.
- Use claim, metric or project references during discussion.
- Apply statement-type labels: target, activity, outcome or impact.
- Record boundary, period, method and evidence source.
- Generate the transcript in the approved environment.

- Verify data against source systems and documents.
- Review language for overstatement and omitted caveats.
- Obtain required technical, legal and leadership approval.
- Store the approved claim and evidence trail in the proper system.

Automatic copy often strengthens verbs and removes uncertainty. Review words such as:
- zero
- carbon neutral
- renewable
- recycled
- sustainable
- eliminated
- guaranteed
- science-based
- net positive
Use only wording the evidence and approved methodology support.
