AI Voice Recorder for Warehouse Managers: Quarantine Before Release

A warehouse voice note can describe a stock discrepancy or equipment symptom. It must never release quarantined stock or return unsafe equipment to service.

This workflow separates capture from the authorised quarantine, investigation and release process.

The quarantine-to-release gate

Record only from a designated safe point

Do not dictate while operating a lift truck, crossing vehicle routes, loading a trailer or handling equipment. Contain the issue first, move to a designated safe location and follow site rules on phones and electronic devices.

The PALLET note

  • P — Place: site, zone, aisle, bay, dock or vehicle.
  • A — Article or asset: SKU, batch, pallet, order or equipment ID.
  • L — Loss or issue: objective discrepancy, damage or symptom.
  • L — Limit: quarantine, isolation or temporary restriction.
  • E — Evidence: scan, photograph, count, label or witness.
  • T — Task: owner, deadline and required system update.

Example: “Zone B, aisle 14, bay 6. SKU 88420, batch 16J. System quantity 48, physical count 36. Remaining stock quarantined at 10:25 pending recount and movement-history review. Photo and scanner report linked. Inventory controller to investigate by 13:00. Do not release stock until authorised.”

Keep four investigations separate

  • Inventory discrepancy: count and movement history.
  • Quality hold: damage, contamination, expiry or specification concern.
  • Equipment fault: symptom, isolation and maintenance inspection.
  • Safety incident: immediate control, formal report and escalation.

One transcript should not authorise adjustments across all four routes.

The same-shift workflow

  1. Make the area safe and contain the issue.
  2. Move to a safe recording point.
  3. Record the PALLET note.
  4. Correct every SKU, quantity, time and location.
  5. Link scans, photographs or asset records.
  6. Update the WMS, quality, maintenance or incident system.
  7. Assign investigation ownership.
  8. Keep the item quarantined or isolated until formal clearance.
  9. Include unresolved status in the handover.
  10. Delete temporary audio under policy.

Stock adjustments require an audit trail

Before adjustment, verify unit of measure, batch, recount, recent movements and approval. “Twelve cases” can easily become “twelve units” in a transcript.

Use voice notes to preserve context, not to bypass scanning and inventory-control procedures.

Equipment return to service

A manager may record warning lights, sounds, vibration and operating conditions. Competent maintenance staff must inspect the equipment and an authorised process must clear it before use.

AI cannot decide that a fault is minor or safe.

Worker privacy

Approved shift briefings are different from continuous worker monitoring. Keep welfare or performance information out of general warehouse notes and restrict access to incident records.
