How to Create a Handover Pack from Voice Notes

A handover pack should allow another person to continue work safely without depending on the previous owner's memory. Voice notes can capture context quickly, but the final pack must be structured, verified and connected to the team's normal records.

Define the handover boundary

State the role, project, period and responsibilities being transferred. Identify what remains with the outgoing person, what moves to the recipient and what requires management approval.

Use six core sections

  1. Current position: work completed, active, paused and blocked.
  2. Priorities: time-critical outcomes, deadlines and service commitments.
  3. Decisions: approved direction, authority, conditions and review triggers.
  4. Open work: next action, owner, dependency and target date.
  5. Risks and issues: current status, controls, escalation and evidence.
  6. Contacts and sources: roles, documents, systems and communication routes.

Capture status instead of a long history

Each item should answer: what changed, what is true now, what remains unresolved and what the incoming person must do. Historical context belongs only where it changes the next decision.

Verify access before transfer

Check that the recipient can open the relevant project boards, folders, mailboxes, contracts and contact records. Do not place passwords or authentication secrets in a voice note or handover pack. Use the organisation's approved access process.

Separate draft and approved material

Mark unresolved assumptions, draft correspondence and unapproved recommendations clearly. A fluent AI summary should not make unfinished work appear decided.

Run a live handover

For material work, review the pack together. Ask the incoming person to explain the top priorities, immediate risks and first actions. Record unanswered questions and assign a final resolution owner.

Complete a sign-off check

  • Critical deadlines and commitments verified.
  • Decisions and conditions linked to evidence.
  • Open work has owners and dates.
  • Risks and issues have escalation routes.
  • Access and contact details tested.
  • Temporary audio and duplicate drafts handled under policy.
  • Recipient and manager confirm acceptance.
