A defensible ROI calculation compares the complete old process with the complete new one and includes quality as well as speed.

Define the unit of work

Choose a repeatable output, such as one approved client-call note, one set of board minutes, one inspection draft or one research transcript. Do not mix unrelated tasks in a single average.

For each unit, measure from the start of preparation to the point at which the approved record reaches its authorised destination.

Calculate the current cost

For the existing workflow, record:

  • Meeting or interview preparation time.
  • Manual note-taking burden during the conversation.
  • Post-event drafting time.
  • Time spent seeking missing facts.
  • Manager or peer review.

Measure quality separately

Do not add all four together without avoiding double counting.

Use matched comparisons

Compare similar meeting lengths, room conditions and output types. Exclude the first few training attempts or report them separately. Measure enough cases to reveal difficult sessions, not only the smoothest example.

Set a break-even threshold

Ask how many successful outputs per month are required to cover:

  • Subscription or processing cost.
  • Training and administration.
  • Average correction effort.
