HVAC service and commissioning records should preserve asset identity, operating condition, measurements, interventions and return-to-service status. Voice notes can reduce reconstruction, but recording must take place away from moving machinery, electrical hazards and other unsafe positions.
Open with the asset and work status
State the site, system, unit, asset number, operating mode, complaint, work order and current safety or isolation status.
Use a test-result sequence
- Reported symptom or service request.
- Observed operating condition.
- Measurement, instrument and unit.
- Expected range, design value or reference source.
- Adjustment, repair or intervention.
- Post-change measurement and verification.
- Outstanding defect, restriction or monitoring action.
Separate reports from diagnosis
Record the user’s account as reported information. Do not convert a customer description into a confirmed technical cause until supported by tests, inspection and controlled documentation.
Protect units, values and setpoints
Repeat critical values clearly and verify them against instruments, commissioning sheets and controls. Transcription errors involving temperatures, pressures, flow rates or setpoints can materially change the meaning of the record.
Control commissioning evidence
Transfer setpoints, balancing data, alarm checks, control sequences and acceptance results into the approved commissioning record. A summary should never replace the source measurements.
Close with equipment status
State whether the system is returned to service, operating with restrictions, awaiting parts or left isolated. Name the owner and due date for every outstanding action.
