An entire viewing may capture unnecessary conversation inside somebody’s home. A short private note afterwards can preserve:

- stated interest and reasons
- questions requiring an answer
- condition or furnishing concerns
- preferred move date
- information or documents promised
- landlord approval required
- next action, owner and deadline
Move the useful details into the CRM promptly rather than keeping a long audio diary.

Landlord calls: confirm material instructions
A permitted call may help preserve discussion about rent, availability, repairs, furnishings, pets or applicant choices. After the call, verify:
- which property and tenancy stage are affected
- what the landlord was asked
- what they approved, rejected or left open
- conditions attached to the response
- cost or timing implication
- documents or marketing information requiring update
- who needs written confirmation
A voice transcript should not be the only evidence of a material instruction.
Maintenance reports
Capture:
- property and room
- tenant’s direct report
- when the issue began
- services or people affected
- photographs or evidence available
- access arrangements
- priority under the agency’s process
- next communication promised
Urgent safety and essential-service issues should enter the emergency process immediately. Recording must not delay action.

Check phrases involving:
- rent and deposit amounts
- holding payments
- move and availability dates
- repair completion
- pets or furnishing approval
- included bills or services
- tenancy conditions
- applicant acceptance
“Landlord will consider it” must not become “landlord agreed”. “Preferred move date” must not become “tenancy begins”.

Route each verified output correctly:
- CRM: applicant requirements and next communication.
- Property record: landlord instructions and marketing facts.
- Maintenance system: repair scope, access and updates.
- Tenancy file: approved documents and confirmed decisions.
- Inventory or inspection: evidence-based property condition.
Do not paste the complete transcript into every system.
Applicant fairness and privacy
Collect only information needed for the lettings purpose and follow the agency’s lawful, fair and non-discriminatory process. Do not use AI summaries to infer personality, reliability or suitability from voice or communication style.
Avoid recording bank details, identity-document numbers or unrelated personal conversation. Use approved accounts and remove source audio when its purpose ends.
