AI Voice Recorder for Site Visits: Observations, Questions and Follow-Up Actions

Reviewed and fact-checked: 21 July 2026.

Quick verdict: An AI voice recorder can make site observations faster to capture, but it must never compete with site awareness or replace photographs, measurements, drawings, inspection forms, permits or formal project controls. Observe first, move to a safe permitted position, record a structured note and verify it promptly.

How this guide was prepared

This guide was reviewed against current HSE construction-site rules and induction principles, including controls for mobile-phone use, restricted areas, traffic routes and visitors. It is general information, not engineering, construction or safety advice. NERALVO sells the Halo recorder; site management and the authorised professional record remain controlling.

Complete the site induction and follow the site rules

HSE guidance states that construction sites require site rules and suitable inductions, including proportionate induction for occasional or once-only visitors. Rules may cover mobile phones, personal protective equipment, restricted areas, traffic systems, pedestrian routes, permits and emergency arrangements. Read the current HSE site rules and induction guidance.

A personal recorder should be used only where the site, employer and client permit it.

Safety is a hard boundary

  • Do not record while driving or operating plant.
  • Do not focus on the device while crossing traffic routes.
  • Do not use it while climbing, working at height or entering a restricted area.
  • Do not remove gloves, hearing protection or other PPE merely to operate it.
  • Do not approach active machinery while looking at a phone or recorder.
  • Use the designated safe area or stop point for spoken notes.
  • Report hazards and emergencies through the required process immediately.

Start every note with a precise location

  • Project and date
  • Building, floor, room, grid, elevation or asset
  • Drawing, specification and revision
  • Photograph or video reference
  • Inspection, survey or meeting purpose
  • Conditions such as weather, lighting, occupancy or operating state

A correct observation attached to the wrong room, drawing or revision can still create a serious project error.

Separate observation from interpretation

Observation: “Vertical crack approximately 1.2 metres long at the north return, photograph SV-034. Width not yet measured.”

Interpretation: “Possible movement-related cracking; cause and significance require assessment by the authorised competent person.”

Do not let AI convert a possible explanation into a confirmed defect or design conclusion.

Link statements to evidence

Evidence type What to state aloud
Photograph Reference, direction and subject
Drawing Number, title and revision
Measurement Value, unit, method and whether verified
Instrument Device, reading and relevant calibration status
Sample Sample ID and required custody record
Conversation Speaker role, status and whether the point needs written confirmation

A useful site-visit note template

  • Context and exact location
  • Observed condition
  • Evidence reference
  • Measurement and verification status
  • Immediate safety or protection action already completed
  • Possible interpretation, clearly labelled
  • Limitation or inaccessible area
  • Design, quality, cost or programme implication requiring review
  • Question, owner and deadline
  • Formal record to update

Verify measurements and document references manually

Speech recognition can confuse decimal points, units, directions and alphanumeric references. Check:

  • millimetres, metres and tolerances;
  • left, right, north, south, east and west;
  • drawing and revision numbers;
  • asset tags and serial numbers;
  • times and sequence;
  • temperature, pressure, voltage or moisture readings; and
  • whether a figure was measured, estimated or quoted by someone else.

After the visit: turn the audio into project control

  1. Sync through the approved workflow.
  2. Correct the transcript while the context is fresh.
  3. Verify every location, measurement and document revision.
  4. Attach or link photographs and evidence.
  5. Create the required site report, request for information, snag, defect, risk or action.
  6. Assign the authorised owner and deadline.
  7. Escalate urgent safety or compliance issues through the formal route.
  8. Delete temporary audio according to policy.

Privacy, confidentiality and other people

Sites can contain workers, residents, customers, security arrangements, confidential designs and commercially sensitive discussion. Do not leave a recorder running continuously. Capture only what the visit purpose requires and follow client restrictions on personal devices, photographs and connected apps.

How NERALVO Halo fits site visits

NERALVO Halo provides NOTE mode, 64GB local storage and up to 35 hours of recording. Local capture can be useful where connectivity is poor, followed by Bluetooth sync with DOWAY for transcription, summaries, templates, translation, mind maps and exports. One year of DOWAY Max is included.

Halo supports note drafting; it does not replace a competent inspection, calibrated measurement, required form or site-authorised record.

Frequently asked questions

Can a voice recording replace a site report?

No. It can support drafting, but the required report, evidence, approvals and signatures remain necessary.

Can Halo record without internet?

Yes, audio is captured locally for later sync and connected processing.

Does outdoor noise affect transcription?

Yes. Wind, traffic and machinery can reduce accuracy. Move to a quieter safe permitted area where possible.

Can AI classify a defect?

It may suggest categories, but an authorised competent person must assess the evidence against the applicable requirements.

Should conversations with contractors be recorded?

Only through the applicable transparent, permitted and approved process. Important instructions should still be confirmed in the formal project system.

Connect every observation to evidence and action

A strong site-note workflow preserves location and context without distracting from safety. The recording becomes useful after it is verified and transferred into project controls.
