Solar survey notes must connect the correct property and roof zone to observations, measurements, photographs, electrical information, customer requirements and later design decisions. Voice capture can reduce memory reconstruction, but it should not be used while climbing, working at height or handling live equipment.
Open every note with a precise roof-zone identifier
State the property reference, elevation, roof section, viewing position and photograph number before describing orientation, shading, condition, obstructions or access.
Record six separate evidence layers
- Visible condition: roof covering, defects, access and obstructions.
- Measurements: dimensions, pitch and other figures requiring confirmation.
- Electrical information: board, meter, supply and proposed equipment location.
- Customer requirements: objectives, usage pattern and stated preferences.
- Design assumptions: provisional layout, generation expectation or cable route.
- Further review: structural, electrical, planning or specialist checks.
Use a measurement verification step
Repeat important dimensions and units, then check them against photographs, drawings or instrument records before design. A transcription error in a roof dimension or cable length can create a costly downstream mistake.
Control changes between survey and installation
Record any changed roof condition, equipment substitution, layout revision, cable-route change or customer instruction. Transfer approved changes into controlled drawings, job records and handover documents.
Build a complete handover record
The final record should show installed equipment, agreed settings, labels, photographs, customer instructions, outstanding work and the documents supplied.
