The commitment ladder
- Possible: volunteer may be able to help.
- Offered: volunteer offers a time subject to confirmation.
- Confirmed: coordinator and volunteer agree the shift.
- Changed: availability or role is amended and acknowledged.
- Completed: attendance is recorded through the approved system.
An AI summary should not move a person up this ladder without human confirmation.
Induction use
Approved induction recording can create accessible notes and FAQs, but it does not prove understanding or completion of required training. Use the organisation’s induction, role description, safeguarding and competency records.

Safeguarding has no transcript queue
If possible harm or abuse is raised, follow the safeguarding process immediately. Do not wait for a summary or include the detail in a general shift handover.

Accessible choice
Some volunteers may value a transcript; others may feel uncomfortable or need another format. Explain recording clearly, offer alternatives where possible and provide a route to correct inaccurate information.
