HSE guidance states that construction sites require site rules and suitable inductions, including proportionate induction for occasional or once-only visitors. Rules may cover mobile phones, personal protective equipment, restricted areas, traffic systems, pedestrian routes, permits and emergency arrangements. A personal recorder should be used only where the site, employer and client permit it.
Safety is a hard boundary
- Do not record while driving or operating plant.
- Do not focus on the device while crossing traffic routes.
- Do not use it while climbing, working at height or entering a restricted area.
- Do not remove gloves, hearing protection or other PPE merely to operate it.
- Do not approach active machinery while looking at a phone or recorder.
- Use the designated safe area or stop point for spoken notes.
- Report hazards and emergencies through the required process immediately.
Start every note with a precise location
- Project and date
- Building, floor, room, grid, elevation or asset
- Drawing, specification and revision
- Photograph or video reference
- Inspection, survey or meeting purpose
- Conditions such as weather, lighting, occupancy or operating state
A correct observation attached to the wrong room, drawing or revision can still create a serious project error.
Separate observation from interpretation

Interpretation: “Possible movement-related cracking; cause and significance require assessment by the authorised competent person.”
Do not let AI convert a possible explanation into a confirmed defect or design conclusion.

Verify measurements and document references manually
Speech recognition can confuse decimal points, units, directions and alphanumeric references. Check:
- millimetres, metres and tolerances;
- left, right, north, south, east and west;
- drawing and revision numbers;
- asset tags and serial numbers;
- times and sequence;
- temperature, pressure, voltage or moisture readings; and
- whether a figure was measured, estimated or quoted by someone else.
After the visit: turn the audio into project control
- Sync through the approved workflow.
- Correct the transcript while the context is fresh.
- Verify every location, measurement and document revision.
- Attach or link photographs and evidence.
- Create the required site report, request for information, snag, defect, risk or action.
- Assign the authorised owner and deadline.
- Escalate urgent safety or compliance issues through the formal route.
- Delete temporary audio according to policy.
Privacy, confidentiality and other people
Sites can contain workers, residents, customers, security arrangements, confidential designs and commercially sensitive discussion. Do not leave a recorder running continuously. Capture only what the visit purpose requires and follow client restrictions on personal devices, photographs and connected apps.
