Do not make an important client call, interview or meeting the first real test of an AI voice recorder. Reliability must be proven across audio capture, phone routing, battery, storage, transcription and export before the device becomes part of a working process.
A good test is not designed to make the product look successful. It deliberately introduces the conditions most likely to cause failure.
The reliability rule
A recorder is ready only when you can repeat the complete workflow three times:
start → confirm capture → stop → find file → process → verify → export → store → delete as required.
One successful demonstration is not enough.
Test 1: Controls without the app
Place the phone out of reach. Start and stop a recording using the device controls. Confirm recording status from the recorder itself.
This reveals whether the hardware remains usable when Bluetooth disconnects, the app logs out or the phone is busy.
Test 2: The far-speaker test
Use the largest normal room. Place one speaker at the farthest seat and ask them to speak at ordinary volume. Add ventilation, paper movement and a short interruption.
Pass condition: every important sentence is intelligible in the source audio.
Test 3: The overlap test
Ask two speakers to interrupt briefly. Check both the transcript and speaker labels.
Pass condition: uncertainty is visible and important words can be recovered from the audio. Do not expect perfect diarisation during overlap.
Test 4: Names and numbers
Include:
- two unfamiliar names
- a postcode or reference number
- a price
- a deadline
- a specialist term
Pass condition: errors are easy to locate and correct. Critical details do not need to be perfect automatically, but the workflow must make verification practical.
Test 5: Mobile-call routing
Test an ordinary mobile call with both handset and speakerphone routes. Repeat with Bluetooth connected if that is normal.
Pass condition: both voices appear in the complete source file at usable volume.
Test 6: Internet-call apps
Test every platform that matters. A recorder that works on a mobile call may behave differently on WhatsApp, Teams, Zoom or another service.
Pass condition: repeatable capture after ending and starting a new session.
Test 7: Low battery
Run the recorder until the low-battery warning appears. Note how visible the warning is and how much usable time remains.
Pass condition: the active file saves safely if power becomes critical.
Test 8: Long-session file
Record for at least as long as the longest normal meeting. Pause, resume or mark the file as you would in practice.
Pass condition: no missing section, split-file confusion or transfer failure.
Test 9: Full or nearly full storage
Learn the warning behaviour before memory becomes critical. Do not intentionally risk important files; use test recordings.
Pass condition: the device provides a clear warning and does not silently overwrite required files.
Test 10: Disconnection during recording
Disconnect Bluetooth or close the app while a test recording is active.
Pass condition: the source audio continues or the recorder gives an unmistakable warning. The expected behaviour should be documented.
Test 11: Export and reopen
Export the original audio, transcript and summary. Open them on another device without the recorder app.
Pass condition: the audio plays, text is editable where required and important labels or timestamps survive.
Test 12: Cancellation or expired-plan scenario
Before a trial or included allowance ends, confirm what remains available. Download representative files and read the current terms.
Pass condition: you understand whether basic recording, exports and stored content remain accessible.
Test 13: Accidental activation
Carry the recorder for a normal day without intending to use it. Check whether a pocket, bag, phone case or magnetic attachment can press the controls.
Pass condition: controls can be locked or accidental files are obvious and easy to remove.
Test 14: Deletion
Create a disposable recording, sync it and then delete it using the normal process.
Pass condition: you know whether copies remain on the device, phone, app, cloud account or recycle area.
Test 15: Workflow destination
Move the checked output into the actual CRM, client file, project tool, research folder or revision system.
Pass condition: the record is usable without reformatting everything manually.

When a backup is justified
For high-value meetings, a backup method may be sensible during the pilot. Use an approved and disclosed method rather than several uncontrolled personal recordings.
Remove the backup only after the primary system has demonstrated repeatable reliability.
Document the working configuration
Record:
- phone model and operating system
- app version
- recorder mode
- Bluetooth state
- room placement
- call platform and route
- export formats
- expected battery and storage behaviour
Retest after significant updates or device changes.

Trust a recorder only after it has survived deliberate failure tests. Prove complete audio, both sides of calls, longest-session battery, storage warnings, critical-detail review, exports and deletion. Document the working setup and retest when the phone, app or operating system changes.
