Side conversations create two problems: the microphone may capture fragments without enough volume, and the transcript may merge them into the main discussion. The answer is better facilitation, not secret extra recording.
Decide whether the side discussion belongs
If it affects the meeting, ask the speakers to bring the point back to the group. If it is private or irrelevant, it should not be converted into formal notes.
Use a verbal re-entry
The chair can say: “For the record, Sam and Lee raised a delivery dependency. Sam, please summarise it for everyone.” This restores speaker identity and shared context.
Control room behaviour
- Pause the main discussion when a relevant side issue emerges.
- Avoid several simultaneous conversations.
- Ask speakers to identify themselves in large groups.
- Place the recorder for the main meeting, not to monitor private corners.
Review uncertain transcript sections
Mark low-confidence passages. Do not attribute a side comment to a named person unless the audio supports it. Exclude unrelated fragments from the approved record.
