How to Review AI Transcripts Before They Enter Business Systems

An AI transcript becomes more consequential when it moves into a CRM, case file, project system, knowledge base or formal minutes. At that point, a casual error can become searchable, reusable and difficult to correct.

The safest approach is a staged review that checks the source, the meaning and the destination separately.

Pass one: source accuracy

Compare the transcript with the audio for details that can change the record:

  • Names, organisations and speaker labels.
  • Dates, times, figures, units and reference numbers.
  • Negative words and conditional language.
  • Technical, legal, medical or product terminology.
  • Quotations and disputed wording.

Mark passages that remain unclear instead of replacing them with plausible text.

Pass two: status and meaning

Label each important item as discussion, proposal, agreement in principle, final decision, action, risk, question or rejected option. AI summaries can compress these distinctions.
