A missing AI voice recorder is both an equipment problem and a potential information incident. The response should begin immediately, even when it is not yet clear whether the device was misplaced, stolen or contains sensitive audio.
The first fifteen minutes
- Stop searching through unsafe or disruptive methods.
- Notify the designated manager or incident contact.
- Record the last known time, place and user.
- Identify the recordings likely to be present.
- Secure associated app and account access where appropriate.
- Preserve relevant logs and do not erase evidence of the event.
Build a rapid exposure picture
Determine:
- Whether audio remained on the device.
- Whether files had already synced.
- What categories of people and information were involved.
- Whether filenames reveal sensitive context.
- What physical, account or encryption controls apply.
- Whether exports exist elsewhere.
- Who may be affected.
Do not assume local storage is either automatically safe or automatically exposed. Assess the actual configuration.
Contain connected access
Follow the approved technical process for passwords, paired devices, sessions and account tokens. Avoid improvising changes that destroy logs or prevent recovery without reducing risk.
Decide notification and escalation
The organisation’s incident process should determine whether privacy, security, legal, professional, client or insurer notification is required. Record the decision and evidence, including why the event is or is not considered reportable.
Recover or replace safely
If the device is found, quarantine it until ownership and integrity are confirmed. Check for unexpected access, damage or configuration changes before returning it to service.
If it is not recovered, ensure replacement setup does not reconnect through an uncontrolled account or restore obsolete files unnecessarily.
