Staff training should not be an unboxing demonstration. A person can know which button starts recording and still create inaccurate notes, expose confidential information or fail to move actions into the correct system.
Responsible training must cover judgement, technical operation, transcript checking and recovery when something goes wrong.
Train by role, not with one generic slideshow
Different people need different competence:

Module 1: decide whether to record
Give staff a short decision process:
- Is there an approved business purpose?
- Is this meeting type permitted?
- Is the device, account and processing route approved?
- Can participants be informed properly?
- Is a simpler note-taking method sufficient?
- Is there any restricted, sensitive or unsafe element requiring escalation?
Use realistic scenarios rather than asking people to memorise policy wording.
Module 2: explain recording clearly
Staff should practise a short spoken explanation that covers purpose, AI processing, access and alternative arrangements. Include exercises with late joiners, objections and a meeting that moves unexpectedly into a sensitive topic.
The goal is calm, clear transparency—not a rushed disclaimer.
Module 3: capture usable audio
Practical exercises should include:
- Quiet one-to-one conversation.
- Long table with a quiet distant speaker.
- Noisy room.
- Multiple speakers and interruptions.
- Supported phone or social-app call.
- Low battery and limited storage.
- Incorrect placement caused by a phone case.
Ask trainees to predict the likely failure before reviewing the result.
Module 4: verify before trusting AI output
Create a training transcript containing deliberate errors:
- Wrong speaker.
- Incorrect date and figure.
- Missing negative word.
- A proposal presented as a decision.
- An action with the wrong owner.
- A summary that removes disagreement.
Trainees should locate and correct each error against the audio. This demonstrates why polished text can still be wrong.
Module 5: move the output into the real workflow
Require trainees to convert the source into the organisation’s actual record: minutes, CRM note, case note, inspection report or task entry. They should identify the authoritative destination and remove temporary copies according to the approved process.
Module 6: practise failure recovery
Simulate common problems:
- The recording does not sync.
- The call contains only one side.
- The transcript is assigned to the wrong meeting.
- A file is shared with the wrong colleague.
- The device is missing.
- The user recorded beyond the intended section.
- The AI summary contains a material false statement.
Competence includes knowing when to stop, preserve evidence and escalate.
Use a practical competency assessment
Do not certify a user for attendance alone. Ask them to complete an end-to-end task and score:
- Correct decision to record or not record.
- Clear participant explanation.
- Safe and effective placement.
- Accurate file identification.
- Correction of material transcript errors.
- Proper approval and export.
- Secure deletion or retention.
- Correct incident response.
