A contractor attending site does not prove the work is complete, tested or safe to accept.

This workflow connects approved building notes and contractor calls to a formal maintenance-acceptance gate.

The six acceptance checks

Before authorising intrusive work

Check asbestos information, isolations, permits, competence, fire effects, occupants and other contractors. A voice note saying “probably clear” is not a survey or permit.

The inspection-to-work-order workflow

  1. Control immediate risk.
  2. Record from a safe private position.
  3. Identify asset and evidence precisely.
  4. Correct locations, dates and contractor names.
  5. Check asbestos, fire, permit and isolation information.
  6. Create the formal work order with scope and acceptance evidence.
  7. Coordinate competent contractors.
  8. Apply the six acceptance checks.
  9. Update CAFM, registers and asset history.
  10. Delete temporary audio under policy.

Contractor commitments

Record attendance window, scope, exclusions, parts, cost assumption and evidence due. Confirm material terms and instructions in writing.

“Engineer attended” is not a completion status. “Test result passed, isolation removed, asset history updated and no open defects” is a controlled acceptance record.

Security-sensitive information

Do not dictate access codes, alarm details or vulnerabilities unnecessarily. Use asset references, managed accounts and restricted systems.
