This workflow turns approved carrier conversations into one timestamped shipment record with a named next update.
The status hierarchy

The ROUTE update
- R — Reference: shipment, consignment, booking or load number.
- O — Origin and current point: verified location and source.
- U — Update: what changed and when.
- T — Time: current estimate, confidence and next review.
- E — Execution: owner, customer communication and required evidence.
Example: “Consignment NL-44382. Carrier control confirmed at 11:20 that the trailer remains at Birmingham depot after inspection. Revised departure 13:00; customer arrival estimate 16:30–17:00, not confirmed. Site closes 17:30. Planner to obtain departure scan by 13:15 and customer service to update the consignee now.”
The one-status rule
After each call:
- identify the latest authoritative source
- timestamp the information
- separate fact from estimate
- update the TMS or controlled shipment record
- communicate one approved position
- state what remains unknown
- assign the next evidence point and update time
Do not leave several teams issuing competing ETAs from separate transcripts.
Customer delay updates
A useful update says:
- which shipment is affected
- what has been verified
- current operational impact
- estimate or confirmed slot
- recovery action underway
- what the customer needs to provide
- time of the next update
AI-generated apologies or compensation promises require authorised review.
Controlled evidence
A recording cannot replace booking documents, customs records, temperature logs, dangerous-goods paperwork, scans or proof of delivery. Use the transcript to identify missing evidence, not manufacture it.
Access and personal data
Delivery notes may contain names, phone numbers, addresses and gate information. Do not record passwords or permanent security codes. Move current access instructions into the approved system and remove outdated copies.
