Employee offboarding must cover more than collecting the physical recorder. Audio, transcripts and exports may remain in companion apps, personal downloads, shared links, email drafts or business systems.
A controlled offboarding process removes access without deleting records the organisation still needs.
Start with an asset and account inventory
Identify:
- Recorder serial number and accessories.
- Paired phone and application account.
- Shared workspaces or team folders.
- Local downloads and exported transcripts.
- Automations or integrations created by the employee.
- Open recordings awaiting review.
- Records under retention, investigation or legal hold.
Separate records from personal working copies
Transfer authoritative documents to the correct owner. Do not leave the only version in the departing employee’s app or inbox. At the same time, remove unnecessary duplicate exports after the required review.
Use a status-based handover

Remove access in the right order
Coordinate device return, app sessions, email, single sign-on, shared drives and destination systems. Removing access too early can strand business records; waiting too long can expose information.
Inspect the device before reissue
Quarantine the returned recorder. Verify transfer of required files, remove residual content, reset or reconfigure it through the approved process and document the new custodian.
