Audio alone does not show which chart, diagram or version a speaker is discussing. A useful recording workflow must connect spoken commentary to the visual source without copying confidential slides unnecessarily.
Prepare a slide reference method
Use numbered slides and ask presenters to state the slide number when moving to a new section. For important charts, say the chart title or metric aloud.
Capture decisions, not narration
The note should record what the slide changed: a questioned assumption, approved option, requested correction or follow-up analysis. It does not need to repeat every bullet.
Control versions
- Save the exact deck version shown.
- Record the date and file name.
- Mark figures changed verbally but not yet updated.
- Link the approved deck rather than embedding screenshots in the transcript.
Position for presenter and room
A recorder beside the laptop may capture keyboard and fan noise while missing audience questions. Place it where both presenter and discussion are audible, then test from the back of the room.
