How to Run a Voice Recording DPIA Workshop

A DPIA workshop should reveal how recording actually works, not simply complete a form. Bring together the people who understand the use case, technology, affected individuals and business record.

This is a practical workshop structure and not legal advice.

Invite the right roles

  • Use-case owner.
  • Recorder user and transcript reviewer.
  • Privacy or data-protection lead.
  • Information security.
  • HR, legal, safeguarding or professional lead where relevant.
  • System and supplier owner.
  • A representative able to challenge the participant experience.

Map the workflow live

Draw every step from the decision to record through capture, transfer, AI processing, correction, export, sharing, retention and deletion. Mark devices, accounts, countries, suppliers and people with access.

Use five challenge rounds

  1. Necessity: can the purpose be achieved with less recording?
  2. People: who may be surprised, excluded or harmed?
  3. Accuracy: what happens when AI gets a material detail wrong?
  4. Security: where could access, loss or uncontrolled copying occur?
  5. Lifecycle: how are rights, corrections, retention and exit handled?

Score risk before and after controls

Do not list vague mitigations such as “staff will be careful.” Name the control owner, implementation date and evidence that shows it works.

Test the difficult case

Walk through a participant objection, accidental sensitive disclosure, lost device, wrong recipient and supplier outage. The workshop should expose whether the process can respond.
