A grievance meeting is the point at which an employee explains a concern, its effect and the outcome they are asking the organisation to consider. A transcript can preserve detail, but it can also make an initial account look like a completed investigation.

Avoid promising an outcome or turning the meeting into premature cross-examination.
Keep five information states visible
- Reported fact: the employee’s account.
- Supporting evidence: document, message, witness or system record.
- Disputed fact: point requiring further inquiry.
- Impact statement: the effect described by the employee.
- Investigation conclusion: finding reached only after the evidence process.
AI summaries often compress these stages. Keep wording precise and provisional until evidence is checked.
Turn the meeting into an investigation plan
For each open issue, record the question to resolve, evidence source, responsible person, confidentiality restriction, target date, dependency and how the employee will be updated.
Do not share the full transcript with every investigator when a focused checked instruction is sufficient. Apply need-to-know access.
Explain confidentiality honestly
Information should be limited to those who need it, but absolute secrecy may not be possible where fair investigation requires disclosure. Remove unrelated private detail from working summaries and use a separate approved process for witness interviews.
Write the outcome around issues and evidence
The outcome should address each material grievance point, evidence considered, finding, reasoning, action or recommendation and any appeal route. When a point cannot be determined, say so.
