Start with a water-fault timeline

When the job changes, record:

Original scope — new finding — evidence — proposed change — price or time effect — customer decision — approval method — next action.

A comment made while the customer is passing through the room is not automatically a variation approval. Confirm material changes through the business’s approved written process.

Keep gas-related boundaries explicit

Where a plumbing visit touches a gas appliance, flue, gas pipework or combustion concern, record the boundary and follow the applicable competence and safety process. Do not use a transcript or AI summary to diagnose gas safety, approve work or create a certificate.

If an immediate risk is suspected, follow the relevant emergency and business procedure before making notes.

Protect homes and personal information

A domestic visit may expose private conversations, family details, medication, documents and valuables. Record only what is necessary for the job. Build a practical trade handover

Where another plumber or trade will continue, state:

  • job and customer reference
  • current water and system state
  • isolations and temporary controls

  • parts and materials required
  • customer commitments
  • making-good or other-trade dependency
  • exact next action
