Standardised meeting notes should make important information easier to find without forcing every meeting into the same shape. The standard needs a small common core plus templates suited to different decisions.
Define the universal core
Every approved note should show:
- Meeting purpose, date and participants.
- Decision status.
- Actions with one owner and deadline.
- Open questions and dependencies.
- Source or evidence references.
- Author, reviewer and approval status.
Create template families
- Operational review: status, blockers, risks and actions.
- Client meeting: needs, commitments, conditions and next contact.
- Decision meeting: options, evidence, authority and rationale.
- Interview: attributed statements, quotations and follow-up.
- Incident review: chronology, evidence, controls and lessons.
Standardise labels, not prose
Use consistent terms for proposed, approved, deferred, rejected, owner, due date and source. Do not require identical introductions or generic AI-generated paragraphs.
Build a quality gate
Check names, figures, decisions, owners, deadlines, uncertainty, confidentiality and destination before approval. Measure correction rates and missing-action rates across teams.
