- Is there any immediate safety concern?
Create an official repair-order description that preserves these conditions. Avoid terms such as “failed alternator” or “warped discs” until the technician’s evidence supports them.
Triage safety before normal booking
Concerns involving braking, steering, tyres, restraints, fuel, overheating, high voltage or serious loss of function may need immediate restriction, recovery or competent assessment. Do not reassure a customer that a vehicle is safe because a summary labels the concern minor.
Follow the workshop’s current triage, manufacturer and official safety processes. Immediate control comes before recording.
Build an authorisation record that can withstand dispute
When explaining proposed work, record the communication in the approved system with:
- verified finding and supporting evidence
- work proposed
- parts or alternatives discussed
- price, tax and additional charges
- whether the figure is an estimate or fixed quotation
- maximum amount authorised
- expected completion or next update
- person, date and method of approval
- items requiring further permission
Where call recording is used, explain it and follow the business’s current privacy and authorisation process. The formal authorisation record remains controlling.

The technician should receive the vehicle, repair-order reference, exact symptom, occurrence conditions, safety status, customer expectation and any diagnostic charge or limit. Avoid passing the complete customer transcript when a concise checked instruction is sufficient.
Explain collection through evidence
At collection, connect the records:
- what the customer reported
- what the workshop found
- what work was authorised and completed
- how the result was validated
- what remains unresolved or advisory
- warranty or follow-up information
- invoice and service documents supplied
Where an intermittent concern was not reproduced, state that honestly and explain the next evidence the customer should capture.
Protect payment and personal data
Use approved payment and identity systems. Do not record full card details, passwords or security answers. Delete temporary audio after the necessary information has entered the authorised records, subject to policy.
