Plumbing jobs often begin with an imprecise symptom: “the pressure keeps dropping,” “the ceiling is damp” or “the boiler makes a noise.” The value of a good job note is preserving when, where and under which conditions the problem appears before opening up the property or proposing work.
An AI voice recorder for plumbers can support an authorised customer discussion, a private survey note and a clear job handover. It should not replace inspection, testing, written scope, customer authorisation, required certificates or specialist gas work completed by an appropriately qualified person.
Start with a water-fault timeline
For leaks, pressure loss and intermittent problems, capture:
- When the customer first noticed the issue.
- Which outlet, appliance, room or system is affected.
- Whether it changes with heating, hot water, rainfall, occupancy or appliance use.
- What has already been isolated, reset or repaired.
- Visible staining, odour, noise, corrosion or meter movement.
- Damage already present and any immediate containment.
Keep the customer’s description separate from the plumber’s finding. A damp patch may be related to plumbing, rainwater, condensation or another source; the record should not claim a cause before evidence supports it.
Create a room-by-room survey map
| Survey field | What to capture |
|---|---|
| Location | Property, floor, room and exact fixture or route |
| Existing installation | Pipe material, size, valves, appliance and visible condition |
| Access | Floors, boxing, cupboards, finishes and likely disturbance |
| Services | Water, drainage, electrical and other relevant interfaces |
| Evidence | Photograph, measurement, test and customer document |
| Uncertainty | Concealed route, unknown condition or investigation required |
Verify measurements, model numbers and pipe sizes before quoting or ordering. Speech transcription can confuse numbers and product references.
Separate investigation from repair scope
A strong quotation distinguishes:
- Diagnostic work: access, testing or investigation needed to identify the cause.
- Defined repair: work based on a verified fault.
- Provisional allowance: an amount subject to concealed conditions.
- Exclusion: making good, specialist work or access not included.
- Customer choice: finish, product or optional improvement.
Do not allow a summary of the conversation to remove qualifications. The customer should receive a written scope, price basis and clear process for additional work.
Use a change-and-authorisation log
When the job changes, record:
Original scope — new finding — evidence — proposed change — price or time effect — customer decision — approval method — next action.
A comment made while the customer is passing through the room is not automatically a variation approval. Confirm material changes through the business’s approved written process.
Keep gas-related boundaries explicit
Where a plumbing visit touches a gas appliance, flue, gas pipework or combustion concern, record the boundary and follow the applicable competence and safety process. Do not use a transcript or AI summary to diagnose gas safety, approve work or create a certificate.
If an immediate risk is suspected, follow the relevant emergency and business procedure before making notes.
Protect homes and personal information
A domestic visit may expose private conversations, family details, medication, documents and valuables. Record only what is necessary for the job. Avoid continuous ambient recording and explain any planned customer recording. Do not capture payment-card details, alarm codes or unrelated household information.
Build a practical trade handover
Where another plumber or trade will continue, state:
- job and customer reference
- current water and system state
- isolations and temporary controls
- areas opened or finishes disturbed
- tests completed and result
- confirmed fault or remaining uncertainty
- parts and materials required
- customer commitments
- making-good or other-trade dependency
- exact next action
How NERALVO Halo may support plumbing records
NERALVO Halo can capture authorised customer fault descriptions in NOTE mode, private survey observations and supported supplier or customer calls in CALL mode where recording is disclosed and permitted.
Halo provides 64GB local storage, up to 35 hours of recording and Bluetooth sync with DOWAY. DOWAY can create transcripts, summaries, templates, translations, mind maps and exports, with one year of DOWAY Max included from activation.
Use the output as a drafting aid. The written quotation, job sheet, inspection results and required certification remain authoritative.
Job-note closure check
- Does the record preserve the exact symptom and occurrence conditions?
- Is the observed evidence separate from the suspected cause?
- Are measurements and product references verified?
- Is investigation distinguished from repair?
- Are exclusions and concealed-condition risks visible?
- Was every variation authorised clearly?
- Are gas-related limits and competence requirements respected?
- Can the next person understand the property and system state?
The best plumbing note reduces repeat visits and disputes by carrying the customer’s meaning into inspection, the evidence into the quotation and every change into a clear authorised record.
